How we handle your information.

Lewis Corporation ("we", "us") operates Tokyo Rent Desk at tokyorentdesk.jp. This policy explains what personal information we collect when you use the site or speak with an advisor, how we use it, and the rights you have over it under the Act on the Protection of Personal Information (個人情報保護法) of Japan.

  1. 1. Information we collect

    We collect personal information you provide directly — name, email, phone number, preferred areas, budget, layout, target move-in date, and any lifestyle details you share when requesting a consultation, sending a contact form, or inquiring about a specific property. We also receive standard server logs when you visit the site (IP address, browser type, pages viewed, referrer) and use cookies and similar technologies for analytics and bot protection.

  2. 2. How we use your information

    We use your information to respond to your inquiry, prepare property recommendations, schedule viewings, and complete any rental contract you choose to enter. We use site logs and analytics to understand how the site is used and to detect abuse. We do not use your information to send marketing communications without your consent.

  3. 3. Sharing with third parties

    To complete a property search we may share necessary information with landlords, property management companies, guarantor companies, and other licensed brokerages involved in a specific transaction. We use trusted service providers to operate the site (hosting, email delivery, analytics, bot protection); these providers process information on our behalf under contract. We do not sell your personal information. We may disclose information when required by Japanese law or to enforce our terms.

  4. 4. Cross-border transfer

    We entrust the handling of your personal data to the following service providers based in the United States: Vercel, Inc. (hosting, serverless compute, bot protection), Supabase, Inc. (database, file storage), Resend, Inc. (email delivery), and Google LLC (maps, web fonts). For information about the United States' personal information protection system, please refer to the website of Japan's Personal Information Protection Commission. We have agreements with each of these providers requiring safeguards that meet the standards set out in Article 28(3) of Japan's Act on the Protection of Personal Information, and we monitor the continued implementation of those measures.

  5. 5. Safety management measures

    We implement the following safety management measures to protect your personal information. Organizational: we designate a personal information manager and supervise our staff. Personnel: we provide ongoing training on personal information handling. Physical: we lock physical records and storage media, control access to our office, and dispose of records irrecoverably. Technical: we apply access controls, encrypt communications (TLS), implement bot and intrusion protection, and apply regular security updates to systems handling personal data.

  6. 6. Retention

    We retain inquiry information for as long as it is needed to provide the service you requested and to comply with our legal obligations as a licensed Japanese real estate brokerage. Site logs are retained for a limited period for security and analytics purposes.

  7. 7. Your rights

    You may request access to, correction of, suspension of use of, or deletion of your personal information held by us. To make a request, email lewis@lewis-corporation.jp. We will respond within a reasonable period after verifying your identity, in accordance with Japanese law.

  8. 8. Cookies

    We use cookies for essential site functionality (language preference, session), for analytics to measure how the site is used, and for bot protection on our forms. You can control cookies through your browser settings; disabling some cookies may affect site functionality.

  9. 9. Children

    Tokyo Rent Desk is intended for use by adults entering rental contracts in Japan. We do not knowingly collect information from children under 15.

    We may update this policy from time to time. The "last updated" date at the top of this page reflects the most recent change. Material changes will be notified through the site.
